Procedure for Club Activity Venue Borrowing:

If the venue belongs to the Extracurricular Activities Section (No paperwork required)
You can borrow it through the Portal system.
If the venue belongs to the General Affairs Office (Paperwork required)
Is it a regular classroom or a special venue?
Regular classroom: Submit a three-part form.
Procedures for borrowing:

※ Notes for Venue and Equipment Borrowing:
- If you need to borrow a venue or equipment, it is mandatory to submit an activity request through the portal system and receive approval before proceeding with the borrowing.
- For borrowing from the Extracurricular Activities Section, there is no need to print a physical application form. However, for borrowing from other divisions, the application form with the Extracurricular Activities Section's endorsement should be submitted to the borrowing unit.
- Please allow sufficient time for the portal activity request to be processed and approved. It is recommended to complete the application procedure at least 10 days before the event (please ensure that the club advisor is notified to complete the approval process). Last-minute or on-the-day requests for venue and equipment borrowing will not be accepted. (Failure to complete the application process may result in the inability to borrow the venue or equipment, and the club will be responsible for any consequences.)
- Before the event, please bring your identification documents and visit the Extracurricular Activities Section counter during the designated working hours to collect the venue key or equipment. (Working hours for counter service are Monday to Friday: 11-13 / 13-15 / 16-18, three time slots.)
- The venue key and equipment must be returned no later than 1:00 PM on the next working day following the event. This allows the subsequent borrowing units to use them. Failure to return the items within the specified timeframe may result in the suspension of borrowing privileges or appropriate disciplinary action, depending on the circumstances.
Operating Instructions for Venue and Equipment Borrowing System
- (Pic 1)After logging into the portal, select the club identity (demonstrated using the example of Southern Region Alumni Association).

(Pic 2)The system displays the current login identity as Southern Region Alumni Association.
- (Pic 3)Take reserving a venue from the Extracurricular Activities Division as an example (selecting a venue from another unit).
- (Pic 4)Choose the Extracurricular Activities Division as the managing unit and select the desired venue to borrow.
- (Pic 5)Click "Agree."
- (Pic 6)Only approved activity venues or equipment can be selected. Activities that have not been approved will not appear in the list.
- (Pic 7)After filling in the borrowing date, user information, and reserved activity schedule, please go to the Extracurricular Activities section, during the working hours before the event to collect the venue key.
